Customer Service Specialist

Job Summary:

Electro-Mechanical, LLC is seeking a Customer Service / Order Management Representative to join our Bristol, VA facility. In this role, you will manage customer orders from receipt to delivery, ensure accurate communication with internal teams, and support our production and logistics operations. This position is critical to maintaining high levels of customer satisfaction, accurate order fulfillment, and smooth coordination across departments. 

This is an excellent opportunity for a detail-oriented professional with strong customer service skills and experience in manufacturing or industrial settings to make a meaningful impact. 

 

Responsibilities:

  • Receive, process, and enter customer purchase orders accurately in our ERP system. 

  • Confirm order details such as pricing, quantity, lead time, and shipping terms. 

  • Track orders throughout production and delivery, providing timely updates to customers. 

  • Serve as the primary point of contact for customer inquiries, complaints, and support. 

  • Collaborate with production, quality, and logistics teams to resolve order issues or product complaints. 

  • Manage the Returned Material Authorization (RMA) process, ensuring proper documentation and coordination with quality and logistics teams. 

  • Monitor stock availability and lead times to maintain accurate order planning. 

  • Ensure data integrity in the ERP system and compliance with company policies. 

Required Qualifications:

  • 1–3 years of customer service experience, ideally in a manufacturing or industrial environment. 

  • Familiarity with order processing, inventory management, or ERP systems. 

  • Strong verbal and written communication skills, with active listening and conflict resolution abilities. 

  • Professional phone and email etiquette. 

  • Proficiency in Microsoft Office and the ability to prioritize tasks under pressure. 

  • High school diploma with relevant experience, or a 2–4 year degree in Business or a related field.
